General Information for oral presenters

 

On arrival, please complete registration formalities at the Registration and Information Desk located in the foyer of the Townsville Entertainment & Convention Centre.  It is important that you arrive and register at least 4 hours prior to your presentation time, preferably earlier.  If for any reason you are delayed or unable to present, please call the Townsville Entertainment & Convention Centre on 07 4771 4222 and ask to be put through to the SGA 2009 Registration Desk and advise your situation.

 

The time of your session and the time of your presentation are available on this website and will be published in the Conference Program, which will be in the conference satchel you will receive when you register.

Session times will be 12 minutes for presentations and 3 minutes for questions.

Plenary Speakers will be 25 minutes and 5 minutes for questions.

Keynote speakers in the technical sessions may be allocated a double timeslot (25 + 5) in some instances. Please refer to the program for specific instances.

Uploading your presentation

All presentations must be brought to the speaker preparation room either on CD Rom or USB Memory Stick.

Speakers preparation room

Upon registration, all speakers will be directed to the Technical Staff in the Speaker ready Room – located in the Yongala Room at the Townsville Entertainment & Convention Centre to arrange a suitable time to upload you presentation.

A networked computer will be available for loading your presentation. 

As a speaker, you are responsible for your own material.  It must be loaded correctly and checked into the Speakers’ Preparation Room at least 4 hours prior to your presentation time.  A dedicated audiovisual technician will be available to you assist you with your enquiries.

The Speakers’ Preparation Room will be open as follows:

            Monday 17th August                        0800 – 1730

            Tuesday 18th August                        0800 – 1730

            Wednesday 19th August                  0800 – 1730

            Thursday 20th August                      0800 – 1600

Audio Visual Equipment and Material       

The smooth operations of audiovisual equipment will contribute to the success of your presentation. Each session room will be set up with the following equipment:

  • Computer Projection
              IBM PC 

             Windows and Powerpoint 2007 (*.pptx or *.ppt) available

  • Lectern and Microphone
  • An audiovisual technician will be on duty in each session room and also in the Speakers’ Preparation Room to assist you.
  • If you have a particular speaker requirement, please notify the antoinette@tailoredstatements.com.au asap.

 

Session Format, Chairperson and Set Up

It is important for you to familiarise yourself with your session room set up prior to your session. You are requested to check your audiovisual presentation in the Speaker’s Preparation Room.  You should also visit the session room and meet your Chairperson prior to the commencement of your session.  The room allocated for each session is indicated in the Conference Program.

The Chairperson will introduce speakers and will serve as a moderator during question time and maintain time schedules.  In the interest of the smooth running of the conference, it is essential speakers keep to their allocated time.

Dedicated audiovisual technicians will be on duty in each session room throughout the conference to operate equipment and trouble shoot.  Each speaker is responsible for advancing his/her own slides during their presentation, via a controller that will be positioned at each lectern. If you are not familiar with this equipment, visit your session room early for assistance well ahead of your presentation.

Please note that the official Conference language is English. All presentations must be made in English.

In summary:

PRESENTATION TIME SLOTS WILL BE 15 MINUTES

This includes 12 minutes for your talk with 3 minutes for questions and discussion.
 

BRING YOUR PRESENTATION ON A THUMB DRIVE OR A CD

Presentations will be uploaded into each session from the speaker preparation room. Presentations cannot be run from individual’s personal laptops or other devices.

 

ALL PRESENTATIONS SHOULD BE IN POWER POINT FORMAT 


Files may be either .ppt or .pptx. If you are preparing your presentation using the Word Perfect office suite, NeoOffice or any other software, please save your presentation as a power point file (.ppt or .pptx). If you have special software needs to run movies or other animations within your powerpoint, please let us know ahead of time so we can determine whether the capability is available.

 

LOAD YOUR PRESENTATION ONTO THE SYSTEM IN THE SPEAKER READY ROOM AT LEAST 4 HOURS BEFORE YOUR PRESENTATION


Volunteer staff will be there to direct you. You must view your file after it has been uploaded to be sure that all the formatting is correct and that your presentation is as you expect.

 

THE COMPUTERS USED FOR PRESENTATIONS WILL BE PCs

If you created your presentation on a Mac, you should be able to load it onto a PC no problem, but you may want to test for formatting before arriving. Also be sure to check the formatting of your presentation when it is uploaded at the speaker’s preparation room. Be sure all compatibility issues are resolved before you upload your presentation into the system.
